Streamlining Collaboration: From Reviews to Strategic Flow
Back in June 2023, the Belong in Plymouth team held a bi-monthly Operations Update that revealed something important: while the work was full of energy, it lacked a clear space for strategic thinking.
Karen noted, “We recognise we have reflective meetings (sprint review) and operational meetings…but we don’t have a specific strategic meeting for thinking about the next few months.” It was a lightbulb moment—working hard isn’t the same as working well.
That reflection grew louder in the January Sprint 3 Review. One attendee praised the space as “a safe place to articulate what we often suppress,” but another cut to the heart of the matter: “I’m concerned we’re becoming a talking shop. Where’s the tangible progress?”
The team took this as an opportunity to recalibrate. Weekly Updates, introduced by Matilde in June, helped reconnect the dots. “As many of us have limited time, I thought… sharing weekly updates might be more accessible,” she wrote. The change was small, but powerful—offering a streamlined way to stay in touch without overloading inboxes.
This series of tweaks—more structure, better updates, clearer purpose—has helped the network feel less like a scatter of activity and more like a community moving together.
In complex, people-led projects like this one, it’s tempting to chase the next task. But what Belong in Plymouth continues to prove is that pausing to reflect is essential—and it’s how we turn collective motion into meaningful momentum.
